EHR software for physiotherapy

EHR software for physiotherapy records the screening, treatment plan, session notes and claims for each patient. Kantex builds around the EHR you already use: integrations with your calendar and claims, draft reports after every session and checks on the chronic conditions list and authorisations, so the physiotherapist types less and the claims are right.

Where physiotherapy practices lose time

A physiotherapist sees fifteen to twenty patients a day and has to record a note for each session, with interim evaluations and a final report for the referrer. On top of that, the chronic conditions list, authorisations and the count of sessions per insurer need attention. The EHR is not the problem; the work around it is.

  • A report for every session, after closing time

Screening, treatment plan, progress and final report all belong in the EHR. There is no time for that between two patients, so the writing slides into the evening.

  • The chronic conditions list and authorisations count

With a chronic indication the first sessions are counted differently, and each insurer has its own maximums. A mistake only comes back when a claim is rejected.

  • Referrer and GP waiting for a letter

After the intake and at discharge, the referrer expects a report. It is often retyped from the record into another system.

What the software needs to do

This is what we build first, around the record system you already use.

Integration with your EHR and calendar

We connect to the interface or export of Intramed, Abakus, SpotOnMedics or FysioRoadmap. An appointment in the calendar becomes a session in the record and a billable service in the claim, without retyping.

A draft report after every session

A short dictated or typed note is worked up into a draft in the structure of your EHR, with a first version of the letter to the referrer. The physiotherapist reads it, edits it and saves it.

Checks on the chronic conditions list and authorisations

Every day, sessions are checked against indication, authorisation and the number allowed per insurer. Exceptions reach the practice manager as a work list, before the claim is submitted through VECOZO, the Dutch claims portal.

Reminders and cancellations

Confirmations and reminders by text message or email, and when someone cancels, the freed-up slot goes to the next person on the waiting list.

How we approach it

No big project up front: one working part first, then expand based on what it delivers.

How we work
  1. A review of your current records

In a free 30-minute introductory call we walk through an ordinary day in your practice: which package you use, what it opens up to other software and which part of the paperwork takes the most time.

  2. A first working step within weeks

We start with one part, such as an integration with your calendar or a draft report after each session, and get that working before we build further.

  3. Support and further development

After go-live we stay responsible for updates and for monitoring integrations and incidents, with agreed response times.

Frequently asked questions

Can’t find your question? Email sales@kantex.nl and we will reply within one working day.

Can you integrate with Intramed, Abakus or SpotOnMedics?

That depends on what the vendor opens up. Some packages offer an interface for appointments and patient details, others only an export. We first establish which data is available and under which conditions, and build around that. If a vendor opens up nothing, we say so plainly and look at what is possible through an export or the patient portal.

Does this also work for a practice with several locations?

Yes. Checks and work lists work per location and per clinician, and a practice manager sees the overall picture. Appointments and waiting lists can be set up per location or across the whole practice.

Does AI write the report into the record by itself?

No. AI turns a dictated or briefly typed note into a draft in the format of your record. The clinician reads it, edits it and saves it. That way the professional stays responsible for what is in the record, and it remains visible who approved which text.

What does it cost?

A first step, such as an integration between your records and your calendar or a draft report after each session, is up and running within a few weeks. The cost depends on the number of systems involved and on what your software vendor allows. After the introductory call you receive a defined scope, the expected lead time and the cost of support afterwards.

How does Kantex handle health data?

Health data falls under the strictest category of the GDPR (AVG in Dutch), and information security in Dutch healthcare follows NEN 7510, the national standard for it. Before we start, we record which data an application needs, where it is stored, who can access it and how that access is logged. Data stays within the EU, and AI only produces drafts that the clinician checks before anything goes into the record.
