EHR software for exercise therapy

EHR software for exercise therapy records the assessment, the treatment plan with its exercise programme, session notes and claims for each client. Kantex builds around the EHR of a Cesar or Mensendieck exercise therapy practice (two Dutch schools of exercise therapy): integrations with calendar and claims, draft reports after each session and checks on indication and authorisation.

Where exercise therapy practices lose time

Exercise therapists work with longer courses of treatment and an exercise programme that is adjusted every session. Each session needs a note in the record, the chronic conditions list and authorisations determine what can be claimed, and the GP or specialist expects a report at discharge.

  • A report and exercise programme for every session

The note and the adjusted exercise programme both belong in the record and are often written up after the last client.

  • The chronic conditions list and authorisations

With a chronic indication and with longer courses of treatment, each insurer has its own rules. A mistake comes back as a rejected claim.

  • Clients exercising at home

The exercise programme goes home on paper, and whether it is actually done only becomes clear at the next appointment.

What the software needs to do

This is what we build first, around the record system you already use.

Integration with your EHR and calendar

We connect to the interface or export of Intramed, Abakus or James. The appointment, session and billable service are recorded only once.

A draft report with the adjusted programme

A short dictated note is worked up into a draft in the format of your record, including the adjusted exercise programme. The exercise therapist checks and saves it.

Checks on indication and authorisation

Every day the system checks which courses of treatment are nearing an authorisation limit or fall outside the indication, before claims are submitted through VECOZO.

The exercise programme at the client’s home

The client receives the programme digitally, with reminders. The therapist sees what has been ticked off at the next appointment.

How we approach it

No big project up front: one working part first, then expand based on what it delivers.

How we work
  1. A review of your current records

In a free 30-minute introductory call we walk through an ordinary day in your practice: which package you use, what it opens up to other software and which part of the paperwork takes the most time.

  2. A first working step within weeks

We start with one part, such as an integration with your calendar or a draft report after each session, and get that working before we build further.

  3. Support and further development

After go-live we stay responsible for updates and for monitoring integrations and incidents, with agreed response times.

Frequently asked questions

Can’t find your question? Email sales@kantex.nl and we will reply within one working day.

Is this the same as your approach for physiotherapy?

The basis is the same: integration with the record, draft reports and checks before claims go out. For exercise therapy, the exercise programme is added, which is adjusted every session and sent digitally to the client.

Does AI write the report into the record by itself?

No. AI turns a dictated or briefly typed note into a draft in the format of your record. The clinician reads it, edits it and saves it. That way the professional stays responsible for what is in the record, and it remains visible who approved which text.

What does it cost?

A first step, such as an integration between your records and your calendar or a draft report after each session, is up and running within a few weeks. The cost depends on the number of systems involved and on what your software vendor allows. After the introductory call you receive a defined scope, the expected lead time and the cost of support afterwards.

How does Kantex handle health data?

Health data falls under the strictest category of the GDPR (AVG in Dutch), and information security in Dutch healthcare follows NEN 7510, the national standard for it. Before we start, we record which data an application needs, where it is stored, who can access it and how that access is logged. Data stays within the EU, and AI only produces drafts that the clinician checks before anything goes into the record.
